Trafalgar Birdhaven is seeking an experienced Estate Administrator to join their team at a well-established Estate in Midrand.

The general Purpose of the Estate Administrator
Administrative assistant duties and responsibilities include providing administrative support to ensure efficient operation of the office. Supports managers and employees through a variety of tasks related to organization and communication. Responsible for confidential and time sensitive material. Familiar with a variety of the field’s concepts, practices and procedures.

Ability to effectively communicate in person, via phone and email ensuring that all Administrative duties are completed accurately and delivered with high quality and in a timely manner. May direct and lead the work of others. Rely on experience and judgment to plan and accomplish goals and a wide degree of creativity and latitude is expected. Typically reports to the estate manager



  • Answer and direct phone calls
  • Reception desk
  • Enrolment on Visitor management Application and biometric of residents
  • Provide general support to visitors
  • Provide information by answering questions and requests
  • Organize and schedule meetings and appointments
  • Take accurate minutes of meetings and transcribe minutes
  • Produce and distribute correspondence memos, letters and forms
  • Assist in the preparation of general reports, create presentations, schedules and the like
  • Handle multiple administrative projects and tasks
  • Write letters, emails, general communications, and correspondence on request
  • Ensure operational continuity of estate equipment and office.
  • Arranging preventive maintenance requirements; calling for repairs; quotes; maintaining equipment inventories; evaluating new equipment and techniques
  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
  • Handle sensitive information in a confidential manner
  • Coordinate office procedures
  • Reply to email, telephone or face to face enquiries timeously and in a professional manner
  • Resolve administrative problems in a professional manner



  • MUST reside in Midrand
  • Adequate experience working in an office environment.
  • Proficiency in all Microsoft Office applications. (Word / Excel / PowerPoint/ MS Teams)
