Full Job Description


The purpose of the Administration Clerk (Freight Broking) is to coordinate and oversee sub-contractors to ensure that their employees/drivers comply with the company’s policies, customs regulations, and customer requirements/procedures to protect the good of the image of the company and to ensure high levels of customer satisfaction. The role requires a high level of energy, attention to detail, ability to prioritize tasks and duties as well as the ability to ensure the flow of documention


  • Responsible for the daily administration and maintenance of the sub-contractors book for all loads allocated and picked-up.
  • Ensure completion of accurate billing practices. Monitor the “paid not billed” report to ensure that files are being billed in a timely fashion.
  • Ensure and check that all documents are received timeously, from the sub-contractors, in order to invoice the client and approve payment to sub-contractors
  • Foster and maintain open and effective communication channel with all sub-contractors
  • Responsible to get all information of loads allocated to sub–contractors, convey and verify this information with the subcontractors and follow-up with sub-contractors that trucks have been booked/allocated.
  • Continuous follow-up with sub-contractors to ensure that allocated loads are picked –up, on route and delivered on time.
  • Ensure to get photos of documentation, from sub-contractor drivers, of each load that is off loaded at a client


Grade 12 required. A certificate/diploma in administration, finance or logistics would be an added advantage.


Preferably 3 years general administration experience or alternatively creditors experience. Logistics/freight experience will be an added advantage.

Employee must have basic user knowledge of computer programs such as Word, Excel, Outlook


Ability to respond to urgent requests and different communication styles in order to satisfy internal and external customer alike. Must be able to push for resolution while maintaining positive relationships.
